Situated on Toronto’s waterfront, Harbourfront Centre is renowned as Canada’s foremost facility for contemporary culture. Our year-round operation offers some 4000 internationally acclaimed events ranging from music, literary and theatrical festivals to children’s activities and craft shops.


Currently an employment opportunity exists in our Cultural Engagement & Activation department for a Summer Administrative Assistant position. Reporting to the Administrative Coordinator, this position will be responsible for providing administrative support to the Cultural Engagement & Activation department.



• Provide administrative support to the Administrative Coordinator including minute taking, photocopying, distributing mail, circulating information, editing documents, assisting in preparing mail outs and contracts for Vendors

• Prepare and process cheque requisitions, ensuring invoices are approved and assigned a budget code by the programmers. File and distribute copies to Finance

• Organize deposits from summer vendors, deliver to Finance and tracks totals. These duties are performed with the Department Administrator and the Vendor Coordinator

• Organize annual busker auditions and assist in the execution of the auditions and contracting process. Monitor buskers over summer and deal with any issues that arise

• Liaise with marketplace and food vendors, providing vendors with information and access to Harbourfront Centre services

• Coordinate with vendors on-site during festivals when required, arranging for services in the event of power problems, rain/water clean up; handle sound and space conflicts between vendors

• Ensure the smooth operation of the world café and market trends, including the coordinating of opening and closing the venues, making sure overnight security staff are in place, and arranging for additional tables and chairs as required for vendors

• Responsible for distribution and return of marketing and publicity documents for approvals

• Assist Director of CEA and Administrative Coordinator with any requested tasks




• Knowledge and skills for this job are normally acquired through a post secondary degree in general arts, arts/administration and/or previous experience in developing and implementing public events.

• Excellent computer skills (internet, spreadsheets, database management, word-processing, etc). Good keyboarding skills and sound knowledge of Microsoft Office application (Word, Excel and Power Point).

• Knowledge of Tessitura is an asset.

• Excellent organizational skills, ability to prioritize, handle multiple assignments and meet tight deadlines.

• Strong communication and interpersonal skills in dealing with the general public

• Fluency in a second language, as well as experience with diverse cultural communities is an asset.

• Flexible with scheduling, able to work some evenings and weekends.
